Mailing Checklist

Mailings consisting of 200 or more pieces can be produced mechanically. Call Mail Services (3316), we may be able to do it for you and save money in the process.

Coordination and Communication are the Keys in this whole process.

How this Works

Requests for database information and requests for copies to be made for a mailing is the sole responsibility of the department requesting the mailing.

Database information should be in the Microsoft Excel file format.

Mailings done by a mail merge should have the letter produced in MS Word and the database information in MS Excel. Both of these files should be separately attached to an email and sent to the mailers folder. Mail services will complete the merge when they are finished cleansing and verifying the address list.

Fliers produced in Adobe Acrobat (.PDF) cannot be merged with address data through our software. Copies must be made through the Copy Center on your respective campus according to the number of people in your database.

When using the Copy Center, their Three Day notification requirement must be considered in your mailing preparations.

You or someone in your department (With knowledge of your Mailing) must be available to answer questions or handle problems during the production of your mailing. Your mailing could be delayed if this is not the case.

Any delays regarding the preparation of your mailing should be reported to Mail Services immediately. Failure to do so may jeopardize the production of your mailing.
